Guest pre-arrival portal add-on in use

What it is

In plain words.

Most of a host's messages are the same few questions: what's the door code, what's the wifi, where do I park, what time is checkout. This add-on answers them in advance on a private page for each guest, sent automatically before they arrive.

It also makes your place feel looked after: a clear, branded page with your house rules, your favorite local restaurants and trails, and what to do in an emergency.

A good fit if

  • Hosts of cabins, rentals and small lodges who field the same questions on every stay.
  • Self-check-in properties with codes and arrival instructions.
  • Owners who want a better first impression than a long text message.

Probably not for you if

  • You prefer to greet every guest personally and like the conversation. This isn't meant to replace that.

We'd rather tell you so than sell you something that doesn't fit.

What you get

Exactly what's included.

A private page for each stay

Arrival instructions, wifi, parking, house rules and checkout steps, in one place.

Automatic sending

The guest gets a link by email or text before they arrive, at the time you choose.

Door or lockbox codes, shown only to that guest

On their private page, from the time you set.

A local guide

Your favorite restaurants, trails, shops and emergency information.

Edit it yourself

Change a rule or add a tip in minutes.

Your branding

It looks like your place, not like software.

How it goes

  1. You tell us what guests ask

Your arrival steps, rules and recommendations.

  2. We build the page and the schedule

What it says, and when it goes out.

  3. We test it on a real stay

You see exactly what a guest sees.

Why it's worth it

What it does for you.

Fewer repeat questions

The answers are in the guest's hands before they ask.

Smoother arrivals

Guests who know where to park and how to get in start the stay relaxed.

A better impression

A clear, welcoming page says you take care of your place.

Less to remember

The codes and details go out on schedule without you.

  • A guest who arrives knowing what to do is a guest who writes a calmer review.

Net each month

$95

That would repay the $595 setup in about 6.3 months, and about $1,140 a year after that.

What this assumes

  • The time estimate is yours, not ours: change the numbers until they match your week.
  • It doesn't count better reviews from smoother arrivals, which is real but harder to put a number on.

The practical bits

What it takes.

What we need from you

  • Your arrival instructions, wifi details, house rules and checkout steps.
  • Your local recommendations.
  • Where your bookings come from (your own site, a platform, or both), so we can plan how guests reach their page.

How long it takes

Usually one to two weeks once we have your content.

Timelines are typical. The dates for your project go in your proposal.

What the monthly fee covers

The monthly fee covers hosting, the email or text delivery that sends each guest's link, and keeping it secure and up to date.

Questions

Likely questions, answered.

How does it know who is arriving?

That depends on where your bookings come from. Bookings made on your own site feed it directly. For bookings from platforms, tell us how you receive them and we'll explain exactly how each one reaches the guest page before you buy.

Is it safe to show door codes on a web page?

Each guest gets a private link, the code is shown only on their own page, and only from the time you choose. You can also change a code between stays.

What if a guest loses their link?

They can ask you and you can resend it, or they can use the one in their confirmation message.

Can each unit have its own page content?

Yes. Parking, codes and rules differ by unit, and each gets its own.

Can I add more than one language?

Tell us what you need when you enquire. Another language is a scope question we'd quote before starting.

What does Guest pre-arrival portal cost?

$595 setup + $25/mo. The price is fixed and written into your proposal before any work starts, so there are no hourly surprises. If you ask for something that isn't in the proposal, we quote that change first and nothing changes until you agree.

Do I own it?

You own what we build for you: the code, the content, and the accounts it runs on (the domain, the hosting account and any service account, such as a payment account, are opened in your name). There is no proprietary platform to be locked into and no cancellation penalty.

Can you add it to the website I already have?

Add-ons are built into a ZONA site. If you already have a site, tell us what it's built with when you get in touch. We'll tell you honestly whether this can be added to it or would work better built into a new one. We'd rather say so than sell you something that doesn't fit.

How do I get started?

Use the button on this page to add it to your project, or send a message. A discovery call takes about fifteen minutes (no pitch deck), and then you get a fixed-price proposal. You'll hear back within one business day.

Is there a long-term contract?

No long-term contracts is our standing rule: care plans are month to month, and any monthly terms for an add-on go in writing in your proposal before you sign anything.
