How it works

A new lead gets a reply within moments and a short follow-up sequence that stops when they reply or book.

  1. The business that answers a new enquiry first often wins it. But you're on a roof, in a kitchen or with a client.
  2. When a new lead arrives, a text goes out within moments, and you get an alert.
  3. A short follow-up sequence runs over the next few days, and stops the moment they reply or book.
  4. It only messages people who filled in your form, every text offers a way to opt out, and you approve every message.

What it is

In plain words.

The business that answers a new enquiry first often wins it. But you're on a roof, in a kitchen or with a client. This add-on replies within moments, sends a short follow-up sequence over the next few days, and holds a time on your calendar, then stops the moment the customer responds or books.

It only messages people who asked to hear from you, by filling in your form, and every text offers a way to opt out, as the texting rules require. You approve every message, written in your voice.

A good fit if

  • Trades, practices and services that win work by being first to reply.
  • Businesses that lose leads to slow follow-up.
  • Owners who forget to circle back after the first message.

Probably not for you if

  • You get a couple of enquiries a month and prefer a personal call each time.
  • You want to message people who didn't ask to hear from you. We won't set that up.

We'd rather tell you so than sell you something that doesn't fit.

What you get

Exactly what's included.

An instant acknowledgment

A text or email within moments of the enquiry.

A follow-up sequence

A few well-spaced messages over the next days that stop when they reply or book.

A calendar hold or booking link

A time held for the call, or a link for them to choose.

An alert to you

So you know a lead has arrived and what was sent.

Rules by service or source

Different messages for different kinds of enquiry.

Opt-out handling

Every text can be stopped with a reply, and we honor it.

How it goes

  1. We write the messages with you

In your voice, for each kind of lead.

  2. We build the sequence and the rules

    Timing, stops and calendar holds.

  3. We test with your own phone

You see exactly what a customer receives.

Why it's worth it

What it does for you.

First to reply

A fast answer often decides who gets the job.

Consistent follow-up

Nobody falls through the cracks because you were busy.

Time back

The routine messages write and send themselves.

Still personal

You approve every message, and it stops when a real conversation starts.

  • The time saved is the smaller benefit. The larger is the lead that you reached before anyone else did.

Run your own numbers

Example figures. Change them to yours.

Count your follow-up time. These are example numbers: change them to your own.

This add-on's monthly fee

Net each month

$85

That would repay the $595 setup in about 7.0 months, and about $1,020 a year after that.

What this assumes

  • The time estimate is yours, not ours: change the numbers until they match your week.
  • It doesn't count jobs won by replying first. That's the bigger prize, but it depends on your market and your follow-up.

The practical bits

What it takes.

What we need from you

  • How you'd like to sound, and a few messages you've sent that you liked.
  • Your calendar details and when you take calls.
  • Your approval of every message before it goes live.

How long it takes

Usually one to two weeks once your messages are agreed.

Timelines are typical. The dates for your project go in your proposal.

What the monthly fee covers

The monthly fee covers hosting the automation, the text and email delivery at normal small-business volumes, and keeping it running.

Questions

Likely questions, answered.

Is texting customers allowed?

Only people who submitted your form and agreed to be contacted, and every text includes a way to opt out. We write the consent line on your form to match.

Will it sound like a robot?

You approve every message and we write them in your voice.

What stops the sequence?

A reply, a booking or you pausing it.

Can I pause it?

Yes, any time, for everyone or for one lead.

Does it need a CRM?

No, but it pairs well with one. See CRM and email platform integration.

What does Workflow automation cost?

$595 setup + $35/mo. The price is fixed and written into your proposal before any work starts, so there are no hourly surprises. If you ask for something that isn't in the proposal, we quote that change first and nothing changes until you agree.

Do I own it?

You own what we build for you: the code, the content, and the accounts it runs on (the domain, the hosting account and any service account, such as a payment account, are opened in your name). There is no proprietary platform to be locked into and no cancellation penalty.

Can you add it to the website I already have?

Add-ons are built into a ZONA site. If you already have a site, tell us what it's built with when you get in touch. We'll tell you honestly whether this can be added to it or would work better built into a new one. We'd rather say so than sell you something that doesn't fit.

How do I get started?

Use the button on this page to add it to your project, or send a message. A discovery call takes about fifteen minutes (no pitch deck), and then you get a fixed-price proposal. You'll hear back within one business day.

Is there a long-term contract?

No long-term contracts is our standing rule: care plans are month to month, and any monthly terms for an add-on go in writing in your proposal before you sign anything.
